Solution for ReFresh Bistro

Client: ReFresh Bistro s.r.o.

Introduction

ReFresh Bistro is the largest network of school bistros in the Czech Republic, operating over 100 locations. It offers both fresh and packaged products with a focus on fast service and high quality, working exclusively with trusted Czech suppliers. Thanks to a franchise model, ReFresh Bistro has achieved rapid growth – successfully expanding its concept to schools across the country.

How Our Collaboration Began

Our active cooperation with ReFresh Bistro started in autumn 2022, following a lead from Dotypos – the POS system provider used in their branches. Our first task was to streamline their internal processes by integrating Dotypos with Google Sheets. This gave administrators a clear overview of daily revenues, expenses, and refund receipts across all locations. Additional spreadsheets were used to automatically create customer accounts for employees.

Challenge

With the transition to a franchise model, it became necessary to extend the functionality to cover multiple Dotypos "clouds" (each representing a separate customer account in Dotypos, used for accounting purposes). Each franchisee operated within their own cloud. At the same time, end customers needed the ability to register a loyalty card and top up credit – allowing parents to send funds for their children's refreshments directly from their bank accounts. A critical requirement was ensuring each customer had a unified points balance across all clouds, which required synchronising both top-ups and payments.

A long-term goal was also to develop a web application for customers to track their account balances – and eventually benefit from additional features as the platform evolves.

Solution

Our initial focus was on building a system to synchronise customer data and loyalty points across all relevant Dotypos clouds. Based on the client's preference, customer registration and credit top-ups were again managed via integration with Google Sheets.

We deployed the system on Google Cloud, with the core logic handled by Google Cloud Functions. This approach provided a transparent and easy-to-follow solution – giving the client valuable visibility into the system, which they specifically appreciated.

Customer Portal

Next, we developed the Customer Portal – a web application where users can manage their loyalty cards (register or block them), check account balances, view transaction history, and access special offers. Administrators have access to tools for resolving transaction issues, onboarding new clouds, and publishing announcements.

Throughout the development, we had to adapt quickly to significant changes – including Dotypos's switch to a new credit system and the rollout of multi-cloud infrastructure. Thanks to close collaboration with all involved parties, we managed to stay flexible and deliver on time.

Results

Our solution delivered ReFresh Bistro a reliable and efficient system that automates internal operations – alongside a Customer Portal now used by thousands of users, making loyalty account management significantly easier. Our work with ReFresh Bistro continues as we add new features and assist with ongoing customer support.
